WhatsApp Business Platform integration for alerts and approvals

Updated 21 Oct 2026 · Written and checked by the AI Marketing Master team, Shivah Web Tech

Short answer

AI Marketing Master uses the WhatsApp Business Platform to send you and your team opt-in alerts, such as a new lead or a post waiting for approval. Once the approval template has an Approve button, you can approve by tapping it. It uses message templates approved by Meta, so it is available after Meta approves those templates. It never messages your leads or customers.

Why approvals on WhatsApp help busy owners

Owners of shops, clinics and salons often spend the day away from a computer. Marketing work stalls because a post sits in an app waiting for a yes. Email works for some people, but in India and many other markets WhatsApp is the app people actually check.

Sending the approval request where you already are keeps the calendar moving, while a person still makes the final decision.

Messages you can receive

  • Approval requests for posts, blogs and other content, with a link to see the full item.
  • An Approve button in the message once Meta has approved that template.
  • A confirmation reply after you approve, or a short reason if it could not be approved.
  • New-lead alerts for your team, so someone can call back while the enquiry is fresh.

A typical day with WhatsApp approvals

In the morning, a message arrives: three posts for this week are ready. You open the link on your phone, read them, and tap Approve on the two you like. The third you open in the app to change a word. Around lunch, a new-lead alert reaches your receptionist, who calls the customer back while the enquiry is still fresh. Nothing else is sent to the customer by the app.

How to switch it on

  • Open your notification settings in AI Marketing Master and find the WhatsApp section.
  • Enter your WhatsApp number and confirm that you agree to receive these messages.
  • Each team member who wants alerts adds and confirms their own number.
  • If WhatsApp is not live on the platform yet, your number is saved and nothing is sent until it is.

Templates and Meta's approval

Businesses can only start a WhatsApp conversation with a template that Meta has reviewed. That is why the integration is described as available after Meta template approval. The approve-by-tap button works only after the template that carries it has been approved. Until then, the same alerts reach you by email, in the app and by web push where switched on.

Privacy and what it will never do

Messages go only to people who opted in, such as you and your staff. The integration does not send messages to leads, does not run bulk campaigns and does not reply to customer chats. Your phone number is stored with your account and can be removed in settings at any time, which stops WhatsApp alerts straight away.

Before an approval from WhatsApp counts, the content must have passed its quality checks. A tap cannot approve something that failed them.

When email or the app may suit you more

If you like to read a long blog post in full before approving, open it in the app or from the email link. WhatsApp works well for short posts you have already seen in the calendar, and for alerts that need quick action.

What it does not do

  • Works only after Meta approves the message templates; the Approve button needs its own approved template.
  • Alerts and approvals only: no messages to leads, no bulk sending, no customer chat replies.
  • Each person must opt in with their own number.

Questions people ask

Do I need my own WhatsApp Business API account?

No. The platform sends the alerts. You only add and confirm your own number.

Will it send WhatsApp messages to my customers or leads?

No. It only sends opt-in alerts to you and your team. Automation rules in the CRM never message leads.

Can I reply to customer WhatsApp chats from the app?

No. Customer conversations stay in your own WhatsApp.

Do I have to use WhatsApp for approvals?

No. It is optional. You can always approve in the app or from the link in an approval email.
