A social media approval workflow that does not slow you down

Updated 21 Oct 2026 · Written and checked by the AI Marketing Master team, Shivah Web Tech

Short answer

A social media approval workflow makes sure every post is checked and approved by a named person before it is published, with a record of who said yes and when. In AI Marketing Master each post moves through clear stages: draft, quality check, awaiting approval, approved, scheduled, published and verified. You can approve in the app, from an email link, or in WhatsApp once that is set up.

Signs your current process is not working

  • Approvals happen in a chat group and nobody can find which version was agreed.
  • A post went out with last month's price or a closed branch's address.
  • A client says they never saw a post that is now live on their page.
  • Posts sit waiting because the one person who approves is travelling.
  • Nobody checks whether a scheduled post actually appeared.

Each stage and the word you will see

Status colours always come with a word, so nobody has to guess what a colour means.

  • Draft (grey): being written or edited.
  • Quality failed (red): a check found an unapproved claim, wrong length or a missing detail. It cannot be approved yet.
  • Awaiting approval (amber): passed the checks and waiting for a person.
  • Approved (green): a named person has said yes.
  • Scheduled (blue): queued for its date and time.
  • Published (blue): the platform accepted it. It stays blue until checked.
  • Verified (green): the app read the post back from the platform and confirmed it.
  • Failed or Rejected (red): it did not go out, with the reason shown.

Who does what

Roles keep the work in the right hands. A content writer can draft but not approve. A manager, admin or owner can approve. In an agency, a client reviewer is a person on the client's side whose job is to approve or reject their own business's posts, and agency staff only see the clients they are assigned to. These rules are enforced on the server, not just hidden in the screen.

Three ways to say yes

  • In the app, on phone or computer, with the full post in front of you.
  • From an email link, when you are away from the app.
  • By tapping Approve in WhatsApp, once the WhatsApp Business Platform is set up with a Meta-approved template and you have opted in.

Keeping approvals quick

Slow approval is the usual reason teams give up on approval altogether. Bulk approval lets you review a week of posts in one sitting and approve them together, as long as each one passed its checks. Owners who want even less to do can switch on Autopilot, which only works within guardrails and only with content that passed every quality check.

A record you can rely on

The audit log records who approved what and when. For agencies this ends arguments about what the client agreed to. For owners it means that if a staff member leaves, the history of every post stays with the business.

What it does not do

  • WhatsApp approval needs a Meta-approved template with an Approve button and your opt-in.
  • Approval covers the platforms the app publishes to; posts made directly in other apps are outside this record.

Questions people ask

Can a client approve without seeing our internal notes?

Yes. A client reviewer sees their own business's posts for approval, not the agency's other clients or internal work.

What happens if a post fails a quality check?

It is marked Quality failed and cannot be approved until the problem is fixed and the checks pass.

Why is my post Published but not Verified?

The platform accepted it, but the app has not yet confirmed it by reading it back. If the check fails, you will see why.

Can I approve a whole week at once?

Yes, with bulk approval, for posts that have passed their checks.

Can my content writer approve their own posts?

No. The content creator role can draft but not approve. Approval needs an owner, admin, manager, reviewer or client reviewer.
