A content approval workflow that keeps people in control

Updated 21 Oct 2026 · Written and checked by the AI Marketing Master team, Shivah Web Tech

Short answer

A content approval workflow decides who must say yes before content goes live, how they are asked, and what happens if they say no. In AI Marketing Master, every blog post, page and social post passes automatic checks, then goes to the right reviewer in the app, by email link or on WhatsApp. An approval covers one exact version, so any later edit needs a fresh approval.

Where approvals usually break down

Most teams approve content through a messy mix of WhatsApp forwards, email threads and comments on shared documents. Someone approves an early draft, a colleague edits it afterwards, and the version that goes live is one nobody signed off. When a client later complains, there is no clear record of who agreed to what.

A proper workflow fixes three things: the right person is asked, they approve the exact text that will be published, and the decision is recorded.

Who reviews what

  • Each client or business has a review owner: the customer, the agency team, or both.
  • When both must review, the business chooses whether one approval is enough or whether both sides must approve.
  • Roles decide who can do what: content writers draft, client reviewers approve or reject, managers and owners handle settings.
  • Agency staff only see the clients they are assigned to.

How a reviewer is asked

  • In the app: an approvals list on phone or computer, with the post shown as it will look.
  • By email: a secure, single-use link that expires after a short time, so a forwarded email cannot be reused later.
  • On WhatsApp: once your WhatsApp Business templates are approved by Meta, a reviewer can tap Approve in the message.
  • Reminders go to reviewers who have not answered, a limited number of times, and stop as soon as someone decides.

What reviewers can decide

A reviewer can approve, reject or request changes, with a comment. A rejection or change request closes that round. When the writer saves a new version, the checks run again and a new approval request is sent; any links for the old version stop working. Content that failed a mandatory quality check cannot be approved at all, one by one or in bulk.

Saving time without cutting corners

Bulk approval lets a reviewer clear many checked social posts in one go. Agencies get a deadline for their own team's review and a note to managers when it is overdue.

If a client wants it, a no-response rule can approve low-risk items that have waited a set number of days. It only covers social posts and Google Business Profile posts, never content with failed or required checks. Blog posts and website pages always wait for a person.

A record you can show anyone

Every request, reminder, decision and comment is kept in the audit log with the person and the time. If a client asks why a post went out, you can show exactly who approved which version and when.

What it does not do

  • WhatsApp approval works only after your message templates are approved by Meta and the reviewer has opted in.
  • Email links expire for security; reviewers who wait too long need a new link.
  • Bulk approval cannot override failed quality checks.

Questions people ask

Can a client approve without creating a full account?

Yes, by email link. The link is signed, single-use and expires, and it only opens that one item.

What if I edit a post after it was approved?

The approval belonged to the earlier version. The edited version is checked again and needs a new approval before it can be published.

Can I approve my own content as the owner?

Yes. If you are the review owner for your business, you can approve directly in the app.

Does Autopilot skip approval?

Autopilot only handles content that passed the checks and stays within the guardrails you set. Ad spending has its own separate cap.
