Send the same useful report every month: a rhythm clients can rely on

Updated 31 Oct 2026 · Published by the AI Marketing Master team, Shivah Web Tech

Short answer

A monthly reporting rhythm means the client knows what arrives, when it arrives and what to do with it. Send a one-page summary first, then the full report, then follow up with a short call or note on what changed and what happens next. Say plainly where data is missing. Predictable and honest beats long and clever.

Why rhythm matters more than size

Clients worry most when they hear nothing. A report that lands at the same point every month answers the question they never ask out loud: is my money doing something?

A short report that always arrives builds more confidence than an impressive one that sometimes arrives late. Once the rhythm is set, you can improve the content a little each month.

The monthly cycle in four steps

  • Early in the month, check that every connection still works and every account still sends numbers.
  • Build the report and write the one-page summary on top.
  • Send the summary and the full report together, on the day you promised.
  • Within a few days, hold a short call or send a written note, and agree next month's actions.

What goes on the one-page summary

Use plain words. If a term such as impressions must appear, explain it once in a short line. The client should be able to read this page on a phone in a few minutes.

  • What changed: up, down or flat, in a sentence for each main measure.
  • Why we think it changed, or an honest we are not sure yet.
  • What we did this month.
  • What happens next month.
  • What we need from you, with a name and a time.

Say what you do not know

Some data will be missing. Perhaps the client does not log phone calls, or an account was never connected. Say so in the report, in plain words, and write not tracked beside the gap. Do not fill a gap with a guess or a number that sounds right.

Never promise a result in a report. You can describe what you did and what the numbers show, but you cannot promise what next month will bring. A report that admits its gaps is easier to believe than one that has none.

The call or note that follows

Some clients dislike calls. Offer a short written note instead, and ask which they prefer.

  • Start from the client's own goal, not from your list of tasks.
  • Cover two or three points only.
  • Ask the client one question that your work needs answered.
  • End by repeating the next steps, with a name against each, and send them in writing.

Make each report easier than the last

Keep the same layout from month to month, so clients learn where to look. Keep a short log of the decisions you agreed together. Write down questions that come up twice, because a repeated question means the summary is missing something.

Use the same structure for every client, but write a fresh summary for each one. Clients can tell when words were copied from another report.

How AI Marketing Master builds the report

The app produces a monthly report and an agency report as a PDF, with a share link and a one-page summary. It is written in plain English and says what changed and what to do next. With white label settings, the app carries your name, colour and logo.

What it does not do

  • Reports can only use data from accounts that are connected. If something is not connected, tell the client in your own words.
  • The app writes what changed and what to do next, but a person should read every report and add the context that only you know about the client.
  • Some connections need Meta or Google approval for the platform before they work.

Questions people ask

How long should a client report be?

Short enough that the client reads it. Put a one-page summary on top, with the detail behind it for clients who want more.

Should I send the report before or after talking to the client?

Send the summary first, so the call can be about decisions instead of reading numbers aloud.

What if the numbers fell this month?

Say so on the first page. Give the reasons you can check, such as a holiday, a season change, paused work or a tracking fault, and say what you will do next.

Can I use one report template for every client?

Use the same structure, but write a new summary each time. Each business has its own story that month.

What if a client never reads the report?

Ask what they want to know, then change the summary to answer that. Some clients prefer a two-line message and a short call.
