Lead capture forms that send enquiries straight to your CRM

Updated 21 Oct 2026 · Written and checked by the AI Marketing Master team, Shivah Web Tech

Short answer

A lead capture form collects a visitor's name and contact details and sends them somewhere your team will act on them. With AI Marketing Master, your existing website form can post directly into the CRM. Each enquiry arrives with the page it came from, any campaign tags in the link, and the consent wording the person agreed to.

Why contact forms that only send email fail

Most website contact forms send one email to one inbox. If that person is on leave, or the email lands in spam, the enquiry is gone. There is no record of who replied, and no way to see which page or advert produced the enquiry.

A form that posts to a CRM fixes all three problems at once: the lead is saved, the team is alerted, and the source is kept.

How a website form source works

In the CRM you create a form source and give it a name, such as Home page enquiry or Diwali offer page. The app gives you a unique form address. You point your existing form at that address. It works as a normal HTML form post, so it suits WordPress, Shopify, hand-built sites and most website builders that let you set the form action.

  • Required: an email or a phone number. Name and message are optional.
  • Extra fields you add (for example, preferred branch or budget) are saved with the lead.
  • You can set a thank-you page to send people to after they submit.
  • You can switch a form source off at any time, and see when it last received a lead.

Tracking where the visitor came from

If the visitor arrived through a link with campaign tags (utm_source, utm_medium, utm_campaign, utm_term, utm_content) or with a Google or Facebook click id, pass those values in hidden fields and they are stored on the lead. The page address and the referring site are saved too. This is what later lets your reports show which campaigns brought leads.

Nothing else is tracked. The form does not record device location or follow visitors around the web.

Spam and abuse protection

Every form source has a hidden honeypot field. People never see it, but simple bots fill it in, and those submissions are quietly dropped. Submissions are also rate limited per address, so one machine cannot flood your list. If spam still gets through, you can mark a lead as spam and it is left out of your reports and HubSpot sync.

Adding a consent box the right way

If you want permission to send marketing later, add an unticked checkbox to your form and set the consent wording on the form source. When someone ticks it, the lead stores that exact wording and the time they agreed. If they do not tick it, the lead is saved without marketing consent. Do not pre-tick the box: consent should be a clear choice.

No website form yet?

If you do not have a website, or your site does not let you change the form, build a landing page in the Landing Page Studio. Its enquiry form block sends leads to the CRM without any setup.

What it does not do

  • Your website must let you set where the form submits. Some closed website builders do not allow this.
  • Campaign tags are only stored if your form passes them as fields.
  • The honeypot stops simple bots, not every kind of spam.

Questions people ask

Will this replace my form plugin?

Not necessarily. Many form plugins let you change where the form posts. You keep the design and point the submission at the CRM address.

Can I use one form address on several pages?

Yes, and the page field tells you which one. Separate form sources are clearer if you want to compare offers or pages.

Does the form work with JavaScript-based forms?

Yes. It accepts a normal form post or a JSON request sent with fetch.

Who gets told about a new form lead?

Team members who are allowed to view leads for that business get an alert by email, in the app, and by WhatsApp or web push if set up.
