CRM automation rules that do not message people

Updated 21 Oct 2026 · Written and checked by the AI Marketing Master team, Shivah Web Tech

Short answer

CRM automation rules in AI Marketing Master handle the repetitive admin inside your lead list. A rule can tag a lead, give it to a team member, add a follow-up task or move it to another stage, when a lead arrives or changes stage. Rules never send emails, SMS or WhatsApp messages to leads, and there is no bulk messaging anywhere in the product. People do the talking.

Why we chose not to automate messages

Many CRMs sell automation as a way to send a stream of messages to every lead. For a small business that can backfire. Messages sent to people who never agreed to marketing can break privacy and anti-spam rules, damage your WhatsApp number's standing, and feel cold to a customer who expected a call.

So the automation in AI Marketing Master stays inside your CRM. It organises work for your team, and your team contacts customers. Because rules never message anyone, they do not depend on marketing consent to run.

What a rule can do

Each rule can combine up to three of these actions.

  • Add a task, with a title and a due date between today and 60 days ahead.
  • Give the lead to a named team member, if nobody owns it yet.
  • Add a tag, such as hot, branch-2 or wedding-season.
  • Move the lead to a standard stage or one of your own stages.

When a rule runs and how to narrow it

Pick a trigger: when a lead arrives, or when a lead changes stage. Then add conditions if you want the rule to apply only to some leads: a particular source, a status, one of your stages, or a tag. With no conditions, the rule applies to every lead for that trigger.

Five rules worth starting with

  • Every new lead: add task Call back, due today.
  • New lead from Meta lead ads: tag lead-ad, so these can be compared later.
  • New lead from Google Ads: give to the person who manages ads enquiries.
  • Lead moves to Won: add task Ask for a Google review, due in five days.
  • Lead moves to Lost: add task Note the reason, due today, so you learn from losses.

Guardrails built into every rule

  • A change made by a rule never starts another rule, so you cannot create an endless loop.
  • Rules skip giving a lead to someone who already lost access to that business.
  • Rules never take a lead away from an existing owner.
  • Each rule shows how many times it has run and when it last ran.
  • Every action a rule takes is written in the lead's history with the rule's name.
  • Merged duplicates do not run rules.
  • Rules can be switched off without deleting them.

Who it suits, and who it does not

It suits businesses that want consistency: every lead gets a next step and an owner, without someone sorting the list by hand. It does not suit a business that wants drip campaigns or broadcast messages to its lead list. If that is your main need, a dedicated email or messaging tool with proper consent management is the better choice, and you can copy leads with consent to it by exporting a CSV.

What it does not do

  • No messages, sequences or broadcasts to leads.
  • Two triggers only: a lead arriving and a stage change. Time-based triggers are not available.
  • Up to 20 rules per business and three actions per rule.

Questions people ask

Can a rule send a WhatsApp template to a new lead?

No. WhatsApp in AI Marketing Master is used for alerts and approvals to your own team, never to leads.

How many rules can I create?

Up to 20 rules per business, each with up to three actions.

Do rules run on leads I import from a spreadsheet?

Yes. Imported leads arrive like any other lead, so when a lead arrives rules apply to them.

Who can create rules?

People whose role lets them manage leads for that business.
