Short answer
Tags are short labels you add to leads, such as the service asked about, the branch or the season, so you can group and filter them later. A segment is simply a group of leads that share tags or a stage. The secret is a small, agreed list of tags used the same way by everyone. Ten well-chosen tags beat a hundred random ones.
Tags, stages and sources do different jobs
It is easy to mix these up. The source says where a lead came from and is set when it arrives. The stage says how far it has progressed. Tags describe the lead: what they want, where they are, or anything else your team finds useful. If you find yourself creating a tag called contacted or facebook, you are repeating a stage or a source; use those fields instead.
Four families of tags most businesses need
- Service or product: implants, braces, whitening; or 2bhk, 3bhk, plot.
- Location: the branch, area or city, such as mohali, zirakpur or chandigarh.
- Timing: wedding-season, diwali-2026, admissions-2027, so seasonal leads can be found later.
- Quality or priority: hot, budget-issue, follow-up-later. Keep these few and clearly defined.
Rules for a tag system that lasts
- Write the list down and share it. New staff should not invent their own tags.
- Use lowercase and hyphens, and no spaces at the ends. AI Marketing Master stores tags in lowercase anyway.
- Keep each tag short; the app accepts up to 30 characters.
- Limit each lead to a handful of tags. The app allows up to ten.
- Review the list every quarter and retire tags nobody uses.
Examples by business type
A coaching institute might tag each lead with the course (neet, jee, ielts), the batch time (morning, evening) and the centre. A salon might use bridal, hair-colour and membership. A travel agency might tag destination (dubai, bali, kashmir) and trip type (honeymoon, family, group). In each case the tags answer the question the team asks most often when they open the list.
Using tags as segments
In AI Marketing Master you can filter the lead list by a tag, a status or a search for a name, email or phone. That filtered list is your segment: for example, all hot leads, or all leads tagged bridal that are still open. Use it to plan your team's calls for the day or to see how a seasonal campaign is doing.
Rules make tagging consistent. A rule can add a tag when a lead arrives from a certain source, and other rules can use a tag as a condition, for example giving every lead tagged branch-2 to that branch's manager. Tags can also come in with a spreadsheet import.
What segments are not used for here
In many tools, segments exist to send bulk messages. AI Marketing Master has no bulk messaging and never messages leads, so segments are for organising your team's work and understanding your leads, not for broadcasts. If you want to email a group who gave marketing consent, export the leads and check consent before using a separate email tool.
What it does not do
- Up to ten tags per lead, each up to 30 characters.
- One tag filter at a time; no saved segments or bulk tag rename.
- Segments cannot be used to message leads.
Questions people ask
Can I filter by two tags at once?
The lead list filters by one tag at a time, alongside status and search. Plan your tags so the most useful groups need only one.
Can I rename a tag on every lead at once?
There is no bulk rename. Agree the tag list early to avoid needing one.
Are tags copied to HubSpot?
No. The HubSpot sync sends email, name and phone only.
Can I save a segment?
Saved segments are not available. A tag filter takes one tap, so a well-named tag works like a saved segment.
