Follow-up tasks so no lead is forgotten

Updated 21 Oct 2026 · Written and checked by the AI Marketing Master team, Shivah Web Tech

Short answer

A follow-up task is a dated next step attached to a lead, such as call back on Thursday or send the price list after the site visit. In AI Marketing Master every lead can carry tasks with a due date and a person responsible, added by hand or created automatically by a rule when a lead arrives or changes stage. The task belongs to your team; the app never contacts the lead itself.

Most lost leads are not rejected, they are just not followed up

Ask any business owner why an enquiry went cold, and the honest answer is often that nobody got back to them a second time. The first call went to voicemail, a note was made somewhere, and then the week got busy.

A task with a date fixes this because it lives on the lead, not in someone's head. Anyone opening the lead can see what was promised and when.

How tasks work

  • Open a lead and add a task: a short title and a due date.
  • Give it to a team member. If the lead already has an owner, rule-created tasks go to that owner.
  • Tick it done when finished. The tick is recorded in the lead's history with your name.
  • If the lead is later merged with a duplicate, its tasks move to the main record, so nothing is dropped.

Automatic tasks from rules

Rules save you from remembering the same first step for every lead. You choose when the rule runs (when a lead arrives, or when it changes stage), any conditions (for example, only leads from the website form), and the task to add with how many days until it is due.

Typical examples: when any lead arrives, add Call back, due today. When a lead moves to Quote sent, add Check if quote received, due in two days. When a lead moves to Won, add Ask for a Google review, due in a week.

Writing tasks people will do

  • Start with a verb: Call, Send, Confirm, Visit.
  • Say what success looks like: Confirm site visit time, not Follow up.
  • Pick a realistic date. A pile of overdue tasks teaches people to ignore them.
  • Keep one open task per lead where you can. Two or three competing tasks confuse whoever picks the lead up.
  • Write the outcome as a note when you tick a task done, so the next person has context.

What tasks are not

Tasks are reminders for your team. They do not send a WhatsApp, an email or an SMS to the lead, and there is no scheduled message sequence behind them. When the task says Call back, a person calls back. This keeps conversations personal and keeps you from messaging people who never agreed to marketing.

What it does not do

  • Tasks never send messages to leads.
  • Up to three actions per rule, and a change made by one rule does not start other rules.
  • No reminder message is sent when a task falls due; overdue tasks are counted on the lead list.
  • There is no shared team calendar view of tasks; they are seen on each lead.

Questions people ask

Will I get a reminder when a task is due?

The lead list shows how many tasks are overdue, and each lead shows its tasks with due dates. There is no separate reminder message when a task falls due, so make checking the lead list part of the daily routine.

Can a task be given to someone who cannot see the client?

No. Tasks go to people who are allowed to see that business's leads. Agency staff only see clients they are assigned to.

Can Milo add tasks for me?

Milo, the assistant, can list your new leads and help you plan what to say on a call. Tasks themselves are added on the lead by your team or by a rule.

Do completed tasks disappear?

No. They stay in the lead's history so you can see what was done and when.
