Ad budget caps: approve the spend before the money moves

Updated 21 Oct 2026 · Written and checked by the AI Marketing Master team, Shivah Web Tech

Short answer

A budget cap is the most a campaign may spend under your authorisation, and approval means a named person agrees to that amount before the campaign goes live. In AI Marketing Master new Meta and Google campaigns are saved paused, launching needs a person's authorisation with a cap, and Autopilot can only act inside the cap the owner sets.

How ad money usually leaks

  • A campaign is switched on with a daily budget nobody double-checked, and an extra zero slips in.
  • A trial campaign is forgotten and keeps running for months.
  • A staff member or freelancer raises a budget because results looked good on one day.
  • Several people have access to the ad account, and nobody knows who changed what.

What the cap and approval do in the app

Every new campaign drafted in the app reaches your Meta or Google Ads account in a paused state. To launch it, someone with permission opens the draft, reads the targeting, ad text and budget, and authorises it with a budget cap. That decision is recorded in the audit log with the person's name and the time.

The cap then works as a ceiling for the app's own actions. Ads Autopilot, if you turn it on, can only work within it. Anything that would go beyond the cap is not done by Autopilot; it needs a person.

Who can approve

Each person in the account has a role, such as owner, admin, manager or content writer, and the role decides what they can do. Preparing an ad and authorising its spend are separate steps, so the person who writes a campaign does not have to be the person who pays for it. In an agency, a client reviewer can be asked to approve, so the business paying for the ads always has the final word.

Approval can happen in the app, from an email link, or by tapping Approve in WhatsApp once that template is set up.

Platform budgets still matter

Meta and Google have their own budget settings, and they behave in their own ways. Google may spend more than the daily budget on busy days and less on quiet ones, balancing over the month. Meta campaigns can use daily or lifetime budgets. You can also set an account spending limit inside Meta, and an account budget in Google Ads where available.

Use both layers. The app's cap controls what the app and your team can launch. The platform settings protect you even if someone edits a campaign directly in Ads Manager or Google Ads.

A sensible approval routine

  • Decide a monthly ad amount you can afford before writing any ad.
  • Approve each campaign with a cap well inside that amount.
  • Review reports weekly: spend, leads and cost per lead.
  • Raise a cap only after reading the numbers, and record why.
  • Pause campaigns that have no clear purpose any more.

Separate from your AI spending cap

The app also has a monthly cap for its own AI use, for writing and images. That is a different limit from your ad budget. Ad spend is charged by Meta or Google to the payment method in your ad account; the app's caps decide what it is allowed to launch.

What it does not do

  • The cap controls actions taken through the app, not edits made directly in Meta or Google.
  • Meta and Google connections each need the platform's approval for our app before they work.

Questions people ask

Can a campaign go live without anyone approving it?

Not from the app. Campaigns created in the app are saved paused, and launch needs a person's authorisation with a budget cap.

What if someone edits the campaign in Ads Manager?

Changes made directly on the platform are outside the app's control. Limit who has direct access and use the platform's own spending limits as a second safety net.

Can my client approve ad spend?

Yes. Agencies can add a client reviewer who approves campaigns before launch.

Does a cap mean I will get a certain number of leads?

No. A cap limits spending; it does not promise results or a cost per lead.
