Finding and merging duplicate leads

Updated 21 Oct 2026 · Written and checked by the AI Marketing Master team, Shivah Web Tech

Short answer

Duplicate leads happen when the same person enquires twice, for example through a lead ad and then your website. AI Marketing Master compares each new lead's email and phone number with existing leads for that business and flags likely duplicates. You then merge with one click: missing details are filled in, notes and tasks move across, and the extra record is marked as merged.

Why duplicates cause real problems

  • Two staff members call the same person on the same day, which feels pushy.
  • A note about a price quoted on one record is missing from the other.
  • Reports count one interested person as two leads, so your numbers look better than they are.
  • If the person asked to stop being contacted on one record, the other record does not show it.

How duplicates are detected

Email addresses and phone numbers are stored in a normalised form for matching. Capital letters and stray spaces around an email do not matter, and phone numbers are compared by their last ten digits, so +91 98140 00000 and 9814000000 can be recognised as the same number.

When a new lead arrives with an email or phone that matches an existing lead for the same business, it is saved and marked as a likely duplicate of the earlier one. Nothing is merged automatically, because two family members can share a phone, or one office can share an email. A person decides.

What merging does

  • Name, email, phone and campaign are copied to the original record only where the original was empty. Nothing already on the original is overwritten.
  • All history entries and tasks from the duplicate move to the original.
  • A merge entry is added to the original's history, with the duplicate's message and source.
  • The duplicate is marked as merged. It drops out of lists, reports and HubSpot sync, but is not silently deleted.
  • The merge is written to the audit log with who did it.

A sensible routine

Check the duplicate flag when you open a new lead. If it really is the same person, merge before calling, so you see the full history first. If it is a different person who happens to share a number, leave both records alone.

Sources are not lost when you merge. The Customer 360 view still shows every time the person got in touch and through which channel, which is useful when you are judging which marketing actually reaches people.

Duplicates from imports and ad platforms

Spreadsheet imports go through the same duplicate check as every other lead, so importing an old list does not quietly double your records. Ad platforms sometimes send the same lead twice; those repeats are recognised by the platform's own lead id and stored only once, without needing a merge at all.

What it does not do

  • Matching uses email and phone only. Different spellings of a name with no shared contact details are not detected.
  • Merging is manual, and there is no undo button.

Questions people ask

Can I merge two leads that were not flagged?

Merging works on leads the app has flagged as likely duplicates. If two records are clearly the same person but have different email and phone, add a note linking them.

Can I undo a merge?

There is no one-click undo. The merged record is kept with its status, and the merge is in the audit log, so check before you merge.

Does merging affect my monthly report?

Yes, in a good way. Merged duplicates are left out of lead counts, so each person is counted once.

Do merged leads still go to HubSpot?

No. Only the main record is copied. HubSpot matches contacts by email, so the same person is not created twice there either.
