Short answer
The HubSpot integration copies new and changed leads from AI Marketing Master into your own HubSpot CRM every 30 minutes. It is one way: it never reads, changes or deletes anything else in HubSpot. Contacts are matched by email address, so the same lead is not created twice. You connect it with a HubSpot private app token.
Who needs this
Some teams already run sales in HubSpot: deals, calls and follow-up live there. They still want the leads that come from marketing work, such as landing page forms, Meta lead ads and Google Ads lead forms, to land in the same place without retyping.
If HubSpot is your sales home, this connection sends the leads there automatically. If you do not use HubSpot, the built-in Marketing CRM already has a pipeline, tasks and reports, and you do not need this.
Where the leads come from before they reach HubSpot
- Enquiry forms on Landing Page Studio pages.
- Your website forms connected to the CRM.
- Meta lead ads and Google Ads lead forms, once those integrations are connected.
- CSV imports and leads your team adds by hand.
How the sync behaves
- Runs every 30 minutes and sends leads that are new or changed since the last run.
- Matches contacts by email, updating an existing contact instead of adding a duplicate.
- Sends phone numbers only if your HubSpot has a phone property it can write to.
- Can be paused and turned back on from the same screen.
- Shows how many leads were sent and the reason for any failure, such as a refused token or HubSpot being busy.
Setting it up
- Ask an owner or admin of your AI Marketing Master account to do this, as other roles cannot connect HubSpot.
- In HubSpot, create a private app. Give it permission to read and write contacts and to read contact properties. Nothing more is needed.
- Copy the private app's access token.
- In AI Marketing Master, open the Leads area, find Send leads to HubSpot, paste the token and save.
- Wait for the next run. New leads appear in HubSpot within about 30 minutes.
Data protection points
Only lead details are sent: the fields that your CRM holds for each lead, such as name, email and phone. The token is held in encrypted form and is never shown again after saving. If you disconnect, the token is deleted here; contacts already copied stay in HubSpot, because that is now your data in your system.
Think about consent. If you set a lead retention period so old leads are deleted in AI Marketing Master, remember that copies in HubSpot follow HubSpot's own settings, which you manage.
Why one way, not two
Two-way syncs can overwrite good data with old data when both sides change at once. Keeping the flow in one direction makes the result predictable: AI Marketing Master is the source for marketing leads, and HubSpot is where your sales team works. Changes made in HubSpot do not come back.
What it does not do
- One-way contact sync only, every 30 minutes, not in real time.
- No deals, tasks, notes or emails are created in HubSpot.
- Only an owner or admin can connect it.
Questions people ask
Will changes I make in HubSpot come back to AI Marketing Master?
No. The sync only sends leads to HubSpot. It never reads other HubSpot data.
Can it create deals or tasks in HubSpot?
No. It creates and updates contacts only.
Why are phone numbers missing in HubSpot?
Your HubSpot may not have a phone property the private app can write to. The app shows a note when this happens.
Does it send emails to leads through HubSpot?
No. Nothing in this integration messages a lead.
Can I still use the built-in pipeline if HubSpot is connected?
Yes. Leads stay in the AI Marketing Master CRM with their stages, tags and notes. HubSpot receives a copy of the contact details.
What if HubSpot is down when the sync runs?
The app notes the problem and tries again at the next run 30 minutes later. Leads are not lost; they wait in the AI Marketing Master CRM until HubSpot accepts them.
